Membership Terms & Conditions

• "WBi", "We", "Us", "Our" refers to Western Badminton Inc, an incorporated association in Victoria, Australia.
• "Member", "You", "Your" refers to any individual who has registered and paid for a WBi membership.
• "Membership Period" refers to the duration of your membership as selected during registration (6 months or 12 months).
• "Facilities" refers to all badminton courts, equipment, and amenities provided by WBi.
• "Guidelines" refers to the WBi Club Guidelines available at /guidelines.html.

2.1 Application Process

Membership applications must be completed through our online registration form. All information provided must be accurate and truthful. WBi reserves the right to verify any information provided.

2.2 Acceptance

Your membership becomes active upon:

• Successful submission of your registration form
• Receipt of full payment
• Acceptance of these Terms and Conditions
• Agreement to our Club Guidelines and Privacy Policy

2.3 Member ID

Upon successful registration, you will be assigned a unique Member ID (format: WBI-YYYY-XXXX). This ID must be quoted in all communications with WBi.

3.1 Available Plans

• 6-Month Membership: $30 AUD - Valid for 6 months from registration date
• 12-Month Membership: $50 AUD - Valid for 12 months from registration date (Save $10)

3.2 Payment Method

Membership fees must be paid via bank transfer or PayID. Upon registration, you will receive an email with payment details including:

• Bank Transfer: BSB, Account Number, and Reference
• PayID: ABN-based PayID for instant transfer

Your membership will be activated once payment is received and confirmed by our administration team.

3.3 Fee Increases

WBi reserves the right to increase membership fees with 30 days written notice to current members. Fee increases will not affect existing memberships until renewal.

All members are entitled to:

• Access to all regular social play sessions
• Priority booking for socials
• Discounted rates for tournaments and special events
• Participation in club competitions and leagues
• Access to member-only resources and training materials
• Invitations to exclusive member social events

Note: Some benefits may require additional fees or bookings. Benefits are subject to change with reasonable notice.

5.1 Membership Period

Your membership begins on the date payment is received and confirmed by Western Badminton Inc, and continues for the selected period (6 or 12 months).

5.2 Expiry Notification

We will send you an email reminder 14 days before your membership expires to the email address registered in your account.

5.3 Renewal

Memberships do not automatically renew. You must manually renew your membership before the expiry date to maintain continuous access. There is a 7-day grace period after expiry during which you can renew without re-registering.

5.4 Lapsed Memberships

If your membership is not renewed within 7 days of expiry, you will need to complete a new registration and may be assigned a new Member ID.

6.1 Cooling-Off Period

You may cancel your membership within 7 days of registration for a full refund, provided you have not attended any sessions or used any club facilities.

6.2 Member-Initiated Cancellation

After the 7-day cooling-off period, membership fees are non-refundable except in the following circumstances:

• Medical Reasons: Permanent injury or illness preventing participation (medical certificate required) - Pro-rata refund for remaining months
• Relocation: Moving more than 50km from the club (proof of address required) - Pro-rata refund for remaining months
• Club Closure: Permanent closure of WBi facilities - Full refund of unused portion

6.3 Refund Processing

Approved refunds will be processed within 14 business days to the original payment method. A $20 administrative fee will be deducted from all refunds except in the case of club closure.

6.4 WBi-Initiated Cancellation

WBi may terminate a membership immediately without refund if a member:

• Breaches these Terms and Conditions
• Violates the Club Guidelines
• Engages in dangerous, abusive, or disruptive behavior
• Provides false information during registration

7.1 Code of Conduct

Members must:

• Treat all members, staff, and visitors with respect and courtesy
• Follow all WBi Club Guidelines at all times
• Use facilities responsibly and report any damage immediately
• Wear appropriate badminton attire and non-marking court shoes
• Not engage in illegal activities or bring prohibited items onto premises
• Supervise any guests and ensure they comply with club rules
• Keep personal information up to date (email, phone, address)

7.2 Social Session Attendance

• Members have priority booking for social sessions
• Arrive on time for sessions
• Respect session capacity limits to allow access for other members
• Cancel bookings at least 24 hours in advance if unable to attend

8.1 Personal Injury

Badminton is a physical sport that carries inherent risks of injury. By becoming a member, you acknowledge and accept these risks. WBi is not liable for any personal injury sustained during play except where caused by our negligence.

8.2 Property Damage

WBi is not responsible for loss, theft, or damage to personal property. Members are advised to keep valuables secure at all times.

8.3 Insurance

WBi maintains public liability insurance as required by law. Members are encouraged to maintain their own personal sports injury insurance.

8.4 Indemnity

You agree to indemnify WBi, its directors, officers, and volunteers against any claims, damages, or expenses arising from your breach of these terms or negligent conduct.

Your personal information will be collected, stored, and used in accordance with our Privacy Policy and the Australian Privacy Principles. By registering, you consent to:

• Collection and storage of personal information provided during registration
• Use of your email for membership communications and club updates
• Storage of membership data in secure cloud-based systems (Azure)

You have the right to access, correct, or request deletion of your personal data at any time by contacting admin@westernbadminton.com.

10.1 Medical Conditions

Members must disclose any medical conditions that may affect their ability to play safely. If you have any pre-existing health conditions, you should consult a doctor before participating.

10.2 COVID-19 & Illness

Members must not attend sessions if unwell or experiencing symptoms of contagious illness. WBi reserves the right to implement additional health measures as required by government regulations.

10.3 Emergency Procedures

Members should familiarize themselves with emergency exits and procedures. First aid equipment is available on-site. In case of serious injury, emergency services will be contacted immediately.

WBi may suspend or terminate membership for:

• Repeated violations of club rules or guidelines
• Aggressive, threatening, or abusive behavior
• Damage to the socials Venue or equipment
• Non-payment of additional fees or fines
• Bringing the club into disrepute

Suspended members will be notified in writing and given an opportunity to respond. Membership fees are not refundable during suspension periods.

12.1 Amendments

WBi reserves the right to amend these Terms and Conditions at any time. Members will be notified of significant changes via email at least 14 days before they take effect. Continued use of membership after amendments constitutes acceptance.

12.2 Severability

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

12.3 Governing Law

These Terms and Conditions are governed by the laws of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.

12.4 Entire Agreement

These Terms and Conditions, together with the Club Guidelines and Privacy Policy, constitute the entire agreement between you and WBi regarding your membership.

13.1 Membership Fees

• Membership fees are payable via bank transfer or PayID upon registration.
• Payment details will be provided via email after registration.
• Fees are non-refundable and non-transferable, except where required by law.
• Pricing is subject to change; however, members will retain benefits for the duration of their active membership.

13.2 Social Session Fees

Social session fees are payable per session:

Members save $2 per session compared to casual rates on both Tuesday and Thursday sessions.

13.2.1 Stringing Charges

Professional racket stringing services are available at discounted rates for members:

Members save $3 on all stringing services. Note: String cost included in the price.

13.3 6-Month Membership Inclusions

The 6-month membership ($30) includes:

• Access to member social rates ($17 per session) during the active membership period
• Access to WBi member communications and announcements
• Priority booking for social sessions

13.4 12-Month Membership Inclusions (Best Value ⭐)

The 12-month membership ($50) includes all 6-month benefits, plus:

Estimated value of complimentary merchandise and tournament savings: $50+ per year

13.5 Merchandise

• Complimentary merchandise is available only to 12-month members.
• Merchandise is provided once per membership term and is subject to stock availability.
• No cash alternative or substitution will be provided.
• Members will be contacted to arrange merchandise collection within 2 weeks of registration.

13.6 Tournament Discounts

• The 5% tournament discount applies only to WBi casual tournaments organised by WBi.
• The discount is non-transferable and cannot be combined with other promotions unless stated otherwise.
• Discount does not apply to external tournaments or events not organised by WBi.
• Discount is automatically applied when members register using their Member ID.

13.7 Code of Conduct

All members and players are expected to:

• Treat fellow players, organisers, and venue staff with respect
• Adhere to fair play, safety guidelines, and WBi rules
• Maintain a positive and inclusive environment for all skill levels
• Report any concerns or incidents to WBi management

Important: WBi reserves the right to suspend or terminate membership without refund in cases of serious misconduct, including but not limited to violence, harassment, discrimination, or repeated violations of club rules.

13.8 Session Availability

• Participation in social sessions and tournaments is subject to court availability and capacity limits.
• WBi reserves the right to limit or prioritise entries to ensure fair and safe play.
• Members will receive priority access when sessions reach capacity.
• Advanced booking may be required for popular sessions (details communicated via member channels).

WBi reserves the right to:

• Modify session schedules, venues, or formats as required (with reasonable notice)
• Cancel or reschedule sessions due to venue unavailability, public holidays, or unforeseen circumstances
• Update these Terms & Conditions from time to time (members will be notified of material changes)
• Substitute merchandise items of equal or greater value if original items are unavailable

Any changes will be communicated through official WBi channels including email, website announcements, and social media.

13.11 Acceptance of Terms

By registering as a member or participating in WBi activities, you acknowledge that you have:

• Read, understood, and agreed to these Terms & Conditions in their entirety
• Read and accepted the WBi Club Guidelines
• Read and accepted the WBi Privacy Policy
• Provided accurate and truthful information in your registration
• Agreed to abide by all WBi rules, policies, and codes of conduct
